Summary
The Front Desk & Office Coordinator serves as the first point of contact for the organization, ensuring a welcoming and professional experience for visitors, clients, and employees. This role also provides administrative back-up support to the regional President’s Executive Assistant and helps coordinate general office operations.
Duties/Responsibilities:
- Front Desk & Office Administration

Greet and assist visitors, clients, and vendors in a professional manner

Manage incoming mail and deliveries
-
Maintain a clean, organized, and professional reception area

Order and manage office supplies and inventory
-
Support general office operations
Executive Support (Back-up)
-
Provide back-up support to the President’s Executive Assistant as needed
-
Assist with scheduling meetings, managing calendars, and coordinating travel arrangements

Prepare documents, presentations, and correspondence
-
Handle sensitive and confidential information with discretion
-
Support event planning and set-up for meetings and company events
-
Performs other duties as assigned
Human Resources Support

Manage employee anniversary awards program
-
Assist with New Hire Orientation (NHO) by preparing packets and documentation

Serve as Training and Development Coordinator

Assist employees with obtaining proper visa documentation for business travel

Performs other duties as assigned

Education/Experience:

2+ years of experience in administrative, front desk, or office support roles

Associates degree (preferred)
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift 15 pounds at times.

Must be able to access and navigate each department at the organization’s facilities.
